How it works
You cannot govern what you cannot see
Your people are already using AI. Logs and policy only show part of the picture. UserAware asks them directly, then helps you act: a workforce report, an AI usage register with named owners, and training that follows the findings. Survey answers stay separate from the person who gave them. Register entries are named on purpose.
- 1 Send a short survey
Upload a list of email addresses. Each person gets a link to a ten minute survey about the tools they use for work, including personal accounts.
- 2 People answer honestly
When someone submits, their answers are stored apart from their invitation. Nothing joins the two, so there is no reason to give a reassuring answer.
- 3 Act on the report
See where exposure sits, which tools need a decision, and what people asked to learn. Export a board pack or the full report as PDF.
- 4 Keep the register current
Owners record live and proposed AI work with review dates. Staff can suggest uses; administrators triage and approve. Reminders go out when a review is due.

Decisions, not a list of worries
Tell UserAware which tools and policy you already provide. The report compares that with what people said they do, then recommends what to adopt, allow, replace or teach. Export a board pack or the full report as PDF, and draft policy wording from the findings when you need it.

The inventory for work you know about
The survey shows what people actually do. The register is for AI uses your organisation owns: who is responsible, what data is involved, the residual risk, and when the next review is due. You can start a draft from a theme in the report. You cannot start one from an individual survey answer.

Training
Training that follows the findings
The report shows what people asked to learn. You assign short courses with video and questions. After the survey, everyone sees the same published course list, so asking for training does not reveal their answers. Certificates record completion, with expiry and renewal, and an audit trail shows what was assigned.

The honesty is the product
Survey answers are stored apart from invitations, with nothing that joins them. Results appear only as group totals. Written comments wait until enough people have replied, and a manager has released them. We never claim perfect anonymity. We say what happens to an answer and what the report cannot see.
The register is different by design. It needs named owners for approved AI work. The two are never mixed: a survey response cannot become a register entry for a person.
